Your privacy is important to me. This policy explains what personal information I collect, why, who else handles it and how long it is kept. Please contact me if you have any questions.

Who I am

Roxify Decluttering Services is run by Roxy Holdstock, based in Windsor, Berkshire, United Kingdom. I am the data controller for the personal information described in this policy. That means I decide why and how it is used, and I am responsible under UK data protection law for looking after it.

What this policy covers

This policy applies to people who visit this website and people who contact me about decluttering, whether through the enquiry form, by email or by telephone.

What I collect

When you make an enquiry

The enquiry form asks for your name, email address, the type of enquiry and your message. If you email or phone me instead, I keep your contact details and a record of our conversation.

When you simply browse

I do not run advertising trackers or social media pixels of any kind, and I do not build profiles of visitors.

The site uses Cloudflare Web Analytics to count page views. It sets no cookies, does not identify you and does not follow you across other websites.

My hosting provider processes your IP address to keep the site available and secure. My form provider also uses your IP address to stop the form being abused. It is stored only in a disguised (pseudonymised) form, normally deleted within about an hour and never kept for more than 24 hours.

Why I use it, and my lawful basis

  • Reading and replying to your enquiry, and keeping a record of it: legitimate interests, so I can respond to you and have a record if a question or dispute comes up later.
  • Preparing a quotation and carrying out the work: performance of a contract, or steps you asked me to take before one.
  • Keeping the website available and preventing abuse: legitimate interests, protecting the site and the enquiry form.
  • Meeting tax and accounting obligations: legal obligation.

I do not rely on consent for any of this, and I do not send marketing emails. I will never sell your information or pass it to anyone for their own marketing.

Who else handles your information

KOG Digital publishes its own data processor information for the Portenda form service, setting out what it handles on my behalf, its own sub-processors and its security measures.

I may also disclose information where the law requires it, or to establish, exercise or defend legal claims.

Sending information outside the UK

Enquiries are stored in the United Kingdom and my email account is held within the European Union, which UK law recognises as offering equivalent protection. The email that delivers your enquiry to me passes through a provider in the United States, under a data processing agreement incorporating the UK Addendum to the European Commission's standard contractual clauses.

How long I keep it

Your enquiry is kept in two places:

  • With my form provider: your submission is held by KOG Digital only long enough to deliver it reliably and to investigate any delivery failure, which is 30 days. After that, everything you typed is erased automatically.
  • In my own records: I keep enquiries and our correspondence for up to six years from our last contact. That is the period during which a contractual claim can still be brought under the Limitation Act 1980, and it matches the records I must keep for tax purposes.

Technical protection data is kept for far shorter periods, measured in hours for rate limiting and in days for security logs.

Cookies and similar technologies

This website sets no cookies of its own, and I use nothing for advertising or tracking. Cloudflare sets a small number of strictly necessary items for security:

  • Cloudflare bot protection (__cf_bm, cf_clearance and similar), on any page: tells people apart from automated attacks.
  • Cloudflare Turnstile, on the Contact page when the enquiry form loads: checks that a person, not a script, is sending the form. It processes your IP address and browser characteristics to decide.

You can block or delete cookies through your browser settings. Blocking the items above will not stop you reading the site, but the enquiry form may stop working.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information I hold about you;
  • ask me to correct information that is inaccurate or incomplete;
  • ask me to delete information I no longer need;
  • ask me to restrict how I use your information while a concern is resolved;
  • object to my using your information where I rely on legitimate interests;
  • ask me to transfer information you gave me to another organisation, where that applies.

To exercise any of these, email hello@roxify.net. I will respond within one month. There is no charge unless a request is clearly unfounded or excessive.

If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

I will update this page whenever the way I handle personal information changes, for example if I add a new supplier or a new feature to the site. The date at the end always reflects the most recent change.
